The Job: The Executive Assistant will provide executive support to
the President and CEO including management of operational details
of the Office of the President. This role will administratively
support the CEO as well as organize and manage activities related
to the Board of Trustees and Committees appointed by the Board.This
position requires occasional weekend and special event
availability.Responsibilities
- Plans, schedules, and prioritizes work activities and
assignments to ensure efficiency and accuracy of assigned
duties.
- Manages the President and CEO's calendar.
- Ensures prompt and deliberate follow up to Leadership Team
needs, requests, and actions.
- Demonstrates an ability to finesse and prioritize Board and
leadership team meetings.
- Responsible for coordination, scheduling, preparation,
materials, and follow-up for Board of Trustee and Committee
functions, as well as internal and external meetings, conferences,
and special events.
- Proactively collaborates with External Affairs when engaging
with the board members including recognitions (birthdays, life
events, Board anniversaries).
- Composes, edits, and delegates correspondence and materials
(including presentations and special reports).
- Coordinates special projects and initiatives as assigned by the
President.
- Consistently exhibits a willingness and flexibility to adapt to
the direction of the CEO.
- Prepares and manages President's office budget.
- Other duties as assigned.Qualifications
- 7+ years' experience or equivalent combination of education and
experience working for a CEO of a corporation.
- Bachelor's degree is a plus.
- Demonstrated professional ability to maintain a high level of
confidentiality.
- Ability to read, analyze, and interpret general business
periodicals, professional journals, technical procedures, or
government regulations. Ability to write reports, business
correspondence, and procedure manuals.
- Proactively respond to questions from the Board, management,
employees, guests, and the public.
- Exceptional attention to detail and ability to organize, plan,
and multi-task with accuracy and efficiency.
- Ability to engage socially and demonstrate excellent
communication skills, both written and oral.
- Polished and confident communicator with outstanding
presentation skills.
- Resourceful in resolving problems or issues independently.
- Tenacious in staying on top of work delegated to others.
- Highly collaborative and agile.
- Strong working knowledge of design fundamentals such as
interaction design, user-center experience design, branding, and
the creative process as well as new platforms and digital
technologies.
- Superior conceptual and critical thinking skills with the
ability to deliver results within budget parameters.
- Language:
- Ability to read and interpret documents such as safety rules,
operating and maintenanceinstructions and procedure manuals.
- Ability to write routine reports and correspondence.
- Ability to speak effectively before groups of employees of the
organization.
- Mathematical:
- Ability to calculate figures and amounts such as percentages
and basic mathematical functions.
- Reasoning:
- Ability to solve practical problems and deal with a variety of
concrete variables in situations where only limited standardization
exists.
- Ability to interpret a variety of instructions furnished in
written, oral, diagram, or schedule form.
- Physical:
- While performing the duties of this job, the employee is
regularly required to use hands to finger, handle, or feel and talk
or hear.
- The employee frequently is required to stand, walk, and reach
with hands and arms.
- The employee is occasionally required to sit; climb or balance;
stoop, kneel, crouch, or crawl; and taste or smell.
- The employee must occasionally lift and/or move up to
50pounds.
- Specific vision abilities required by this job include close
vision, distance vision, color vision, peripheral vision, depth
perception, and ability to adjust focus.
- Work Environment:
- The employee is occasionally exposed to wet and/or humid
conditions; high, precarious places; fumes or airborne particles;
toxic or caustic chemicals; outside weather conditions; extreme
cold; extreme heat; and vibration.
- The noise level in the work environment is usually moderate.The
salary range for this position is $80,000 - $90,000.
